Are you a strong organizer, extremely accurate, and logical thinker?  Do you thrive in a fast paced, dynamic environment?  If so, read on!  Located in the trendy Miami Design District, Ornare is a luxury Brazilian brand offering custom solutions for high end kitchen, baths and closets.  We are seeking a Project Scheduler to join our growing Customer Care Team.  This is a very critical role at Ornare, as you will be responsible for managing the logistics and installation of kitchen and closets for a demanding and upscale group of clients.  All we are missing is you!

About the position:

Our work really begins after the sale.  This position coordinates the entire logistics and installation process, and creates intricate “agendas” for each sale consisting of a detailed schedule outlining each step along the way from shipping to installation.  As the point of contact with the client during delivery, installation and post sales, the Project Scheduler provides a high level of client service and guarantees the flow of the process, ensuring our client is more than satisfied.

Key accountabilities include:

International logistics:  Verification of factory confirmations on weekly basis to ensure order is properly matched; Coordination of the arrival of order in Miami and maintenance of Container program on Excel; Quote and hire container/air shipment prices with providers; Keep customer informed of arrival

Inspection: Contact client to verify job site conditions and define section schedule date; Manage Project Coordinator schedules to visit job sites prior to installation and verify that conditions are suitable to begin work; Manage inspection reports and obtain Project Coordinator’s start of installation; Manage troubleshooting and solutions in liaison with Project Coordinator to be sure job site is ready

Local delivery:  Manage warehouse facility, Book White Glove Delivery Company, set up delivery schedule, time frame and delivery conditions; Provide certificate of insurance; Schedule deliveries to the job sites for installers to work; Confirm delivery with client

Installation: contact clients to organize installation; prioritize and coordinate installation agenda with installers; follow up with Project Coordinators daily about work in progress; schedule walk through on last day of installation with Installers and Client; communicate with General Contractor and/or Client results of the walk through; payment of containers, products, installers and third party providers; create monthly end post sales breakdown report; ensure the product is delivered and installed with excellence

Our ideal candidate is a logical person who plans ahead and anticipates issues before they arise, and is quick to solve these issues.  You are able to empathize with our clients to gain their trust, recognizing that they have gone through a long construction process to get to the final installation of their kitchen or closet.  You are extremely accurate and have a passion for organizing and keeping many activities on track.  This position requires a person who is resilient and can keep a schedule moving efficiently and smoothly.

Skills/Experience/Knowledge required:

  • Minimum 5 years experience in Project Management with advanced skills in the coordination of duties, timelines and schedules
  • Experience in logistics, supply chain, construction/architecture/design is of value
  • Proven customer service experience
  • Proficient with Word and Outlook; very strong skills in Excel
  • Ability to apply basic math skills to calculate dimensions, weights, modules
  • Fluent English; Spanish and/or Portuguese is a strong plus
  • Bachelors Degree in Business, Engineering, or Project Management is of value
