(WCD) is seeking a talented Executive Assistant to be the right arm to our CEO. This is your opportunity to interface with a sophisticated and powerful group of women throughout 76 chapters worldwide with a membership 2,500 strong and growing. This position is primarily remote, however our strong preference is a candidate located in Florida, preferably within a reasonable distance to Stuart where our office is located.  The Executive Assistant will be required to meet with our CEO at the Stuart office from time to time, especially during the planning of major events.

About the position:

The Executive Assistant will be responsible for providing support to our CEO, Directors, and Board.  This role also provides Committee related support and assists in the planning and execution of the annual Visionary Awards celebration.

Snapshot of key accountabilities:

 CEO Support:

  • Maintain executive calendar by planning, scheduling, and coordinating meetings
  • Coordinate a high volume of corporate travel arrangements, both domestically and internationally (while at a low volume at this time, it will be heavy as travel increases)
  • Draft correspondence and writing assignments as needed
  • Proofread speeches
  • Complete expense reports
  • Conduct searches for information and data on companies and executives

WCD Board and Committee Related Support:

  • Coordinate timeline for Board meetings and maintain master meeting schedule
  • Manage online Board portal for meeting materials and communications
  • Create and distribute notifications and correspondence for meetings
  • Draft/edit Board meeting agenda and prepare and assemble meeting materials
  • Maintain meeting files including agendas, reports, minutes,
  • Schedule meetings for Board related committees and manage materials in the Board portal

Overall director support:

  • Answer telephone
  • Assist with organizing internal meetings and company events, including conferences
  • Complete credit card account reconciliations
  • Prepare check requests (WCD operating expenses and WCD chapter check requests)
  • Order office supplies
  • Work to increase efficiency and reduce redundancy within the office
  • Provide support to other team members or special projects as needed
  • Provide support for the annual Visionary Awards Celebration event including communicating with speakers, scheduling prep sessions, and coordinating awards production with vendors

Ability to work independently with little direct supervision, ability to multi-task, detailed, high energy,  can do attitude, strong interpersonal skills, and an effective communicator are mission critical for this position.

Skills/Experience/Knowledge required:

  • Minimum 8 years executive support experience at a senior level, including C Suite support
  • Experience booking domestic and international travel, including hotels, dinner reservations, and creating flawless itineraries
  • Strong email (including multiple accounts) and calendar management
  • Experience with coordinating Zoom meetings and events
  • Discreet and able to manage confidential material
  • Experience interacting with high-level stakeholders, members, speakers, and sponsors
  • Business savvy with ability to analyze and interpret business periodicals, professional journals, or government regulations
  • Mastery of written communication including the ability to proofread and edit documents
  • Professional telephone skills
  • Ability to work remotely and live within a reasonable distance to Stuart, FL
  • Proficient with MS Office (Word, Excel, Outlook); Power Point familiarity
  • Bachelor’s degree required
  • Bilingual a plus
