Bookkeeper/Administrator – W. Babylon, LI

We are a provider of a fleet of concrete pumps to the general contracting industry.  We are looking for a Bookkeeper/Administrator to run the dispatch, collections and other accounting functions for our company.  You will be a one person team running the show!

Key accountabilities:

Dispatch:

  • Field calls from customers and place orders for pump rentals for the following day
  • Log orders onto schedule and into computer program
  • Confirm all orders with customers
  • Contact pump operators and advise them of job location, pump size, and customer
  • Print out tickets with required information for operator
  • Maintain communications with operators throughout the day
  • Ensure operators hand in tickets and log into computer (time, yardage, labor, OT)
  • Generate invoice and send out in timely manner

Collections:

  • Contact customers to expedite payment
  • Apply payments to account and update any special pricing in computer
  • Advise management of late or nonpayment so company can take action

Update Customer Database:

  • Maintain updates with motor vehicle paperwork, parts orders, quotes
  • Track service on pumps

Accounting:

  • AR and AP
  • Invoice customers
  • Bank statements
  • Prepare accountant’s reports
  • Make journal entries
  • Pay Highway Use Tax
  • Process payroll for 4 employees and enter into general ledger

 Traits required for success:

  • Very strong attention to detail
  • Patient with repetition balanced with ability to coordinate activities that are “fast and furious” in nature
  • Extremely conscientious with excellent follow up ensuring nothing falls through the cracks
  • A professional and reserved manner in dealing with customers
  • Comfortable working alone

 Requirements:

  • Minimum 5 years experience in accounting including general ledger, journal entries and some administrative work
  • Experience with collections
  • Proficient with Quickbooks
  • Able to work 7am to 5pm
  • Comfortable in a construction environment
  • 2 year degree of value
